Dispatch Authorization Rule Detail

On this page you can edit existing dispatch rule details. You are also navigated to this page when you click New on the Dispatch Authorizations page.

You can configure the following:

  • Name: The name of the dispatch authorization rule

  • Dispatch type: The type of dispatch that results when the criteria value is met; available types are:

    • Auto-assign exception: Work orders are not dispatched to assigned provider

      This option lets you configure the following:

      • Tag work order: Set to Yes to tag work order when this rule runs

      • Email on exception: Select the check box for the role/title of people to email when this rule runs

    • Auto-dispatch exception: Work orders are not dispatched or sequentially dispatched to assigned provider

      This option lets you configure the following:

      • Tag work order: Set to Yes to tag work order when this rule runs

      • Email on exception: Select the check box for the role/title of people to email when this rule runs

    • Auto-dispatch rule: Work orders are dispatched to assigned provider

    • Custom provider dispatch: Overrides the category-assigned provider to determine which provider to dispatch the work order to

      This option lets you configure the following:

      • Provider (required): Select the provider to dispatch the work order to when this rule runs

      • Preferred contact method: Select how to contact the selected provider

        Contact method options are fax, email, telephone, or dispatch schedule, and you input the contact information (or select the dispatch schedule) for each.

    • Sequential dispatch rule: Work order are dispatched to assigned providers in order of priority/preference (up to three providers)

      If the first priority provider declines the work order, it dispatches to the second priority provider, then the third. If all preferred providers decline, the work order remains in a pending status. A work order is only considered declined if all sequential dispatch providers have declined the work order.

  • Enforce outbound call: Determines whether the rule triggers an outbound call

  • Rule status: Determines whether the rule is active or inactive

  • Rule priority: Determines the order in which this rule is processed in relation to other dispatch authorization rules, with the lower values being processed first

    You can set the value from 1 to 99. The default value is 50.

  • Reason for modification: For existing rules, enter the reason for your update

Existing rules have a History button that shows all the modifications for the rule. They also show a table with information about the creation of the rule and the last time it was updated.

Rule builder

The Rule builder sets the criteria by which a work order is automatically dispatched to a provider based on the rule. You can have multiple entries for each rule.

  1. Click the plus sign button.

  2. Select a Criteria Value from the menu that appears. Options can include:

    • Asset Category

    • Client

    • Operational Status

    • Organization

    • Percent of Maintenance Threshold

    • Problem Type

    • Role

    • Site

    • Site Attribute

    • Site Occupation

    • Site Operation

    • Site Type

    • Work Order Script

    • Work Order Type

  3. Click Edit.
    Some criteria values present a menu to select from, not an Edit button.

  4. Select the names, codes, or values from within the Criteria Value to add as Saved Values.

    You can select any or all of the items configured for the Criteria Value, such as particular clients if you select Client for the Criteria Value

  5. Click Select.

    Your selections appear as Saved Values for the Criteria Value. When a work order matches your selections, it is automatically dispatched based on the rule.
